Event Coordinator

Job Description:

The Event Coordinator is responsible for providing administrative support to the Event Manager and is also responsible for applicable smaller events with oversight from the Senior Event Managers. The Event Coordinator reports to a Senior Event Manager and the Director of Event Management.

Job Responsibilities:

  • Support multiple events and Event Managers under the direction of Director of Event Management
  • Accurately set up events in Passkey; ability to understand hotel contracts and hotel inventory
  • Manage booking hotel reservations for multiple events via email and phone — data entry
  • Participate in the development and maintenance of event timeline
  • Participate in the upkeep of the Event Coordinator Log
  • Manage Event hotel inventory
  • Manage Event email inboxes
  • Act as liaison to hotel, event attendees, and event exhibitors
  • Internal and external event reporting with heavy Excel reporting
  • Prepare accurate post-event billing for assigned events
  • Attend department training and regular meetings

Job Requirements:

  • Passkey experience recommended but not required
  • Hotel experience recommended┬ábut not required
  • Extreme attention to detail
  • Excellent customer service skills
  • Ability to work in a cross-functional work environment and multitask
  • Excellent verbal and written communications skills
  • Above average time-management and organizational skills
  • Outstanding follow-up abilities
  • Standard computer skills in Microsoft Office suite with a strong knowledge of Excel
  • Outstanding ability to meet deadlines
